Camp Policies
It's important to understand how a ministry functions. It helps you understand what your expectations can and should be. We've tried to list a variety of the most frequently inquired areas. If you still aren't sure about a question you have, contact us for more information.
Abuse/Neglect Awareness Reporting
Abuse can be physical, sexual or emotional. We are legally required to report any suspected child abuse or neglect. Our main priority is the welfare of all our campers.
Camper Discipline
Counselors and staff of Impact 2818 do not use physical punishments as a means of discipline. Disruptive students may lose privileges and opportunities. Parents will be contacted if behavioral issues continue and cannot be resolved.
Counselor to Camper Ratios
Primary through Junior High Campers are under the supervision of at least two counselors/staff at all times.
Primary (grades K-2) – 2:10
Early Elementary (grades 3-4) – 2:12
Elementary (grades 5-6) – 2:14
Jr. High (grades 6-8) – 2:16
Sr. High (grades 9-13) -- 2:18
Dress Code
We believe that modesty and respect are the best approach to dress at camp. We ask that students honor God and respect themselves without causing distractions to other students in their dress.
Emergency Contacting
The safety and well being of our campers is our highest priority. In the event of situations involving injury, accidents, medical need, repetitive behavioral problems, etc., parents will be contacted. Please rest assured that your child is in safe hands and we will contact you should there be any problems.
Homesickness
Homesickness can occur at camp, even among experienced campers. At Impact 2818 Camps, we encourage homesick campers to stay to the end of the event to allow them to truly experience camp. Our staff and volunteers are trained to help children through homesickness so that they have a great and positive, camp experience. In the event that a camper becomes severely homesick, parents will be called by either the spiritual director or the program manager so that the best decision can be made regarding their child.
Late Arrival & Early Departure
There are no part-time registrations. The Spritual Director must approve any instances of late arrival or early departure.
We discourage late arrival and early departure for the benefit of the camper.
The success of a camping experience is dependent upon full-time participation.
In the event of an early departure or late arrival no fee refund/pro-rating will be provided.
In the event of any late arrival or early departure, transportation is the financial and physical responsibility of the camper’s family.
Medical
All Impact 2818 program staff are CPR and First Aid Certified. Any treatment of campers is done in accordance with our First Aid Protocol & Procedure book.
All medication must be brought in its original labeled container and given to the Camp Medic at Check-In on the first day of camp.
All camper medication is stored and administered by the Camp Medic. Inhalers, bee-sting kits and epi-pins are exceptions and are carried by the camper’s counselor (by them, if Sr. High) and administered as needed.
Camp Adventure, Camp Lakewood and Pine Creek Camp distribute first aid supply bags to each counselor to keep with him/her at ALL times throughout the week. This bag contains supplies for treating minor injuries.
At Epworth Forest, all supplies are stored and administered by the Camp Medic. Campers should report to the First Aid Station to take medication or receive medical treatment.
Photo & Video
Camp Photos, which are group pictures taken during camp of the entire camp, are available for purchase only during the week of camp.
Camp Videos are available only on DVD format. They will be given to every camper/family at the conclusion of camp at not extra charge.
DVD Issues: If you are experiencing issues with a DVD you purchased from the camp, please try the following before contacting us.
- Try the DVD in a different DVD player
- Try the DVD in a computer with a DVD reader
Explanation - We use current industry standards in producing our Camp DVD's. They are considered a DVD-R disc though and some early models of DVD players were never capable of reading this format of DVD disc. That is why we recommend trying a computer or another DVD player; if the disc works there, then the issue is the player. If the disc does not work in either of these locations, the issue is most likely a faulty disc and we can replace it for you.

Photo & Video Requests - We cannot distribute photos or footage used in Impact 2818 publicity such as brochures, web or videos. Our photo/video release signed by parents does not allow the distribution of these media for any uses except in the publicity of Impact 2818 camping. We do this for the safety of the campers.
Registration
100% payment is required to register for camp.
Registration closes one week prior to the start date of that camp.
Only parents or guardians can register a camper for camp. (Please help us out and don't register campers who aren't your own children.)
There are three ways to register for camp: a) Online. b) Mail it in. c) Fax it in.
Registration Cancellation
$75 of the registration fees serve as a non-refundable deposit. The remainder of the registration fee will be refunded as long as notification of cancellation is received two weeks prior to the start date of that camp. These allowances are at the discretion of the Registrar and Sr. Manager for Program. No refunds or fee transfers will be made for those who fail to show up on Check-In Day without notice.
Registration Fees
The Prices listed in the brochure and on the web are the base price for camp. You can save money by signing up for camp by April 1st. If you register between April 2nd and June 1st, add $15 to the base price of camp. If you register any time June 2nd or later, add $30 to the base price of camp.
Registration Transfer
Wait List Transfer - See Waiting List Policy
All Other Transfers - In the event that a participant becomes unable to attend the camp they’ve registered for, the Registrar will transfer them to a camp of the same price for a fee of $15. If there are no other programs of the same price scheduled for that Calendar year, then an even transfer is not possible. The participant may choose to attend a different priced camp and would either be refunded the difference or pay the additional balance. If no other event option is selected, see Registration Cancellation. All transfers must be completed 2 weeks prior to the start of camp.
Roommate Requests & Cabin Assignments
We try our best to honor all roommate requests; however, we cannot guarantee requests.
The volunteer leadership team makes cabin assignments for Primary, Early Elementary, Elementary, Jr. High camps.

When a camper wishes to room with another camper(s), all campers must list each other as a roommate request on the registration form. Requests grouping more than 3 campers will not be carried out fully and a judgment call by the volunteer leader will decide who to pair together.
Visitors
Pastors and youth/children workers are encouraged to visit campers during their week of camp. Upon arrival, please check-in at the camp office. It is required that all visitors remain unobtrusive to the program and respect the active leadership in progress.
Impact 2818 does not offer parent visitation days.
Parents or guardians are discouraged from visiting and phoning a camper during their week of camp. Personal contacts from parents can have negative effects regarding homesickness and community building times. Remember, if there is a problem with your child, we will contact you.
All other visitors are not allowed at camp for any reason.
Volunteer/Staff/Visitors Screening
The welfare of our campers and guests is our utmost priority. Every individual on site, with the exception of campers, is run through the National Sex Offender Public Registry.
Waiting List
In the event a camp is full, a camper can elect to be placed on a waiting list. If spots become available, the family will be contacted by the Camp Registrar to make a transfer. Available spots are filled on a first-come first-serve basis.
In the event a spot does not become available for the camp you desire, a no-fee transfer is available. Wait list cancellations fall under the Registration Cancellation Policy.
Weather
Weather is monitored 24 hours a day. Camp Staff will alert leaders of possible severe weather approaching. All camp leaders are trained on where to take campers in the event of severe storms.
